The type of personal information we collect
We currently collect and process the following information:
- When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
- Information on hirers and prospective hirers including name, company name, email address and telephone number.
An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service Privacy Policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
- Hirers of the New Green rooms and area.
- Visitors to the website who leave comments on the site in the contact form.
We use the information that you have given us in order to secure bookings and respond to comments made on the contact form.
We may share this information with the Trustees of the New Green Community Trust only.

How we store your personal information
Your information is securely stored.
We keep hirers information for 4 years for tax purposes or 6 months if you have shown an interest in hiring the New Green Community Trust’s rooms. We will then dispose your information by permanently deleting them from the website data collection sheet and all folders and email folders. Any printed/paper documents and contracts will also be shredded after 4 years.
Media
If you send images to be uploaded to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Cookies
If you leave a comment on our site you may opt in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
